This policy explains what information we collect when you use our website at www.pixelproaimarketing.com, our interactive quote, search plan, and demo tools, and our client portal at portal.pixelproaimarketing.com, why we collect it, and what we do with it.
1. Who we are
Pixel Pro AI Marketing LLC provides web design, branding, video production, local search marketing, paid advertising, CRM automation, and AI voice receptionist services. If you have a question about this policy or about your information, contact us at grow@pixelproaimarketing.com or (281) 938-6688.
2. What we collect
When you enquire, build a quote, run a search plan, or submit a project brief
Your name, business name, email address, phone number, website URL, service area, and the details you choose to give us about the work you want done. When you tick a consent box on our forms, we also record the date, time, page URL, and terms version accepted. If you attach images or documents to a brief or help desk request, we receive those files.
When you request an AI Receptionist demo call or call our lines
When you request a demo call at /ai-demo.html or speak with our AI voice receptionist, we collect your name, business name, mobile number, email address, industry, and call notes. Demo calls and AI receptionist calls are recorded and transcribed so we can send you the recording and transcript, fulfill your request, and maintain call quality.
When you create or use a client portal account
Your email address and a password. Passwords are never stored in a readable form; they are stored only as a cryptographic hash, so nobody at Pixel Pro can see or recover your password. We also store your name, business name, phone number, and notification preferences so we can address you properly and contact you about your work.
If you choose to sign in with Google
We receive your name, email address, and profile picture from Google. We do not receive your Google password, and we do not request access to your Gmail, Drive, Contacts, Calendar, or any other Google service. You can withdraw this access at any time from your Google account's security settings.
When you use the portal
Files you upload, messages you send to our team (including optional voice, video, or screen recordings you record in the portal), and the details you enter or correct in your profile. We also record the date and time you sign in, and the IP address a sign-in came from, so we can detect and block attempts to break into your account or abuse rate limits.
Payments
We do not collect or store your card details. Invoice and subscription payments are handled by Stripe on their own hosted checkout page. We see that an invoice has been paid; we never see your full card number.
3. Why we collect it
- To do the work, quotes, search plans, or demos you have asked us to do and to keep you updated
- To send you invoices, payment links, and receipts
- To let you sign in to the portal and see only your own information
- To send transactional SMS text messages or emails you have requested, and (only where separately opted into) occasional marketing updates
- To keep your account and our website tools secure, including limiting repeated failed sign-in attempts and enforcing tool quotas
- To respond when you contact us
We do not sell your information. We do not share it for third-party advertising. We do not use your private client files to train public AI models.
4. SMS text messaging & mobile privacy
No mobile sharing: We never sell, rent, loan, trade, lease, or otherwise transfer your mobile phone number or SMS opt-in consent data to any third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, except with our authorized telephony providers strictly as needed to deliver the text messages you requested.
- Transactional vs. marketing texts: We separate transactional SMS consent (payment links, demo links, appointment reminders, and project updates waiting on your reply) from optional marketing SMS consent (up to 4 messages per month). Consent to receive marketing texts is never a condition of purchase.
- Opt-out (STOP): You can stop receiving SMS messages at any time by replying STOP to any text message, or by switching off text notifications in your portal profile at portal.pixelproaimarketing.com.
- Help (HELP) & rates: Reply HELP for help or contact grow@pixelproaimarketing.com. Message and data rates may apply. Message frequency varies.
5. Who we share it with
We use a small number of service providers to run our business, and your information may be stored in their systems solely on our behalf:
- Stripe, for secure invoice checkout and subscription payment processing
- GoHighLevel (LeadConnector) & Twilio, for our customer records, invoices, email, SMS, and telephony
- Google Workspace and Google Drive, for email and for storing files you send us
- DigitalOcean, which hosts our portal, automation workflows, and database
- Cloudflare & Resend, which serve and protect our website and deliver transactional notifications
- AI & Search Data Providers (Google Gemini, OpenAI, voice synthesis, and search keyword providers), to generate your requested Local Customer Search Plan, website chat responses, and AI Receptionist demo calls
These providers process information on our behalf. We do not give anyone else access to your information unless the law requires it.
6. How long we keep it
We keep your project records and the files you send us for as long as you are a client and for 24 months afterwards, so we can answer questions about work we have done for you. You can ask us to delete your information sooner, subject to any invoice, tax, or consent records we are legally required to keep.
7. Your choices
You can ask us to:
- Show you what information we hold about you
- Correct anything that is wrong. You can also correct your own name, business name, phone number, and SMS preferences yourself in the portal at any time
- Delete your information, subject to any records we are required to keep for tax or accounting purposes
- Stop sending you marketing email (via the unsubscribe link in every marketing email) or SMS messages (by replying STOP)
To make any of these requests, contact us at grow@pixelproaimarketing.com. We will respond within 30 days.
8. Security
Your portal password is stored only as a hash. Your sign-in session is held in a cookie that JavaScript cannot read, sent only over an encrypted connection. Sign-in links and password reset links can be used once and then expire. Access to your information inside our systems is limited to the people working on your account.
No system is perfectly secure, but if a breach ever affects your information we will tell you promptly and explain what happened.
9. Children
Our services are for businesses. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
If we change this policy we will update the date at the top. If a change materially affects how we handle your information, we will tell you directly.
